Email is every company's most critical and most taken-for-granted system: contracts, offers, customer data — everything passes through it. And for most companies, "through it" means through a third-party vendor's servers, on terms that change every year.
What self-hosted means, concretely
A server of your own (in a European datacenter or on premises), modern mail software, domains configured properly: SPF, DKIM, DMARC, encryption. Mailboxes live where you decide, with backups you control.
The classic fears — "we'll end up in spam", "it's for tinkerers" — belong to the past: with authentication set up correctly and a clean IP, deliverability is built and measured, not hoped for.
When it pays off
- Sensitive data and confidentiality: professional firms, healthcare, companies with delicate IP — knowing physically where the email lives is a requirement, not a whim.
- GDPR and audits: with mail in-house, answering "where is the data and who accesses it?" becomes a sentence, not a negotiation with a vendor.
- Many mailboxes: per-user fees add up; past a certain threshold your own server costs less with every passing year.
- Independence: no unilateral price changes, no accounts locked by an algorithm.
When it does NOT
Honestly: if you have three mailboxes, no special requirements and nobody to look after the infrastructure (internally or through a partner), the cloud remains the pragmatic choice. Self-hosting is a commitment: updates, monitoring, backups. It should be taken on, not suffered.
Migrating without losing anything
The proven path: prepare the new server in parallel, migrate the historical mailboxes (messages included), verify delivery against the major providers — and only at the end move the MX. From the outside nobody notices a thing; the old mailboxes stay readable for as long as needed.
